Information we collect

When you book a course, we collect your name, email address, phone number, the course and date you choose, and any optional note you provide. We keep the booking reference and booking status so we can manage the session and contact you about it.

When you use the Contact or Private Training form, we collect the contact details and message you submit. A Private Training request may also include the topics you select, your preferred dates, and information you choose to share about your training goals. Please avoid including sensitive personal details that are not needed for your request.

Our site uses a necessary session cookie to secure forms and administrator access. We use a protected hash derived from a visitor’s IP address to limit abusive form submissions. Our web host may also record technical request data, such as IP address, browser information, and access time, in server logs for security and operations. We do not currently use advertising or cross-site tracking cookies on this website.

How we use it

We use this information to answer inquiries, arrange Private Training, reserve and manage course places, send booking and course updates, process cancellations, prevent misuse, maintain records, and address payment questions or disputes. We may retain records where reasonably needed for accounting, security, legal obligations, or resolving a request or dispute.

We do not sell your personal information. We do not use the booking or inquiry forms to sign you up for unrelated marketing emails.

Payments through Stripe

If online payment is offered for a course, checkout takes place on a Stripe-hosted payment page. Stripe receives the information needed to process the payment, including payment method details and transaction information. Payment card numbers are entered with Stripe and are not stored in the Protocols website database.

We receive and keep the details needed to administer a paid booking, such as the course, booking reference, amount, payment status, Stripe transaction identifiers, and any refund status. Stripe and its payment partners may process information for payments, fraud prevention, and legal compliance under Stripe’s Privacy Policy. Online payment is available only when the checkout feature is enabled for a course.

Who helps us provide the site

We share information only as needed with service providers that support the website and communications, including Bluehost for site hosting and database services, our email delivery services for confirmations and replies, and Stripe when a customer uses online checkout. We may disclose information when required by law or to protect the rights, safety, or security of our customers and business. These providers may process data in locations different from yours.

Security and retention

We use HTTPS, restricted administrator access, and reasonable technical safeguards to protect information. No online service can guarantee absolute security. We keep information for as long as reasonably needed for the purposes described above, including course administration, financial records, dispute resolution, and applicable legal requirements, then delete or de-identify it when appropriate. Payment processors and hosting providers may have their own retention requirements.

Your choices and questions

You can ask us to correct your contact details, request access to information you provided, or request deletion where we are able to do so. Some booking and payment records may need to be kept for legitimate business or legal reasons. Your browser can block cookies, but doing so may prevent our forms or administrator login from working.
